# Best Practices for Using AI Rewrite

AI Draft and AI Rewrite help teams write clearer, faster, and more effective responses across email and chat conversations.

You can use this feature to improve the quality of your message, adjust the tone, make the response more concise, or expand it with more context. It is especially useful when agents want to respond quickly while still maintaining a professional and customer-friendly tone.

### What You Can Do With AI Draft and AI Rewrite

You can select your message and choose from the available AI writing options:

| Option | When to Use It |
| ----------------- | ------------------------------------------------------------------------- |
| Elaborate | When the response needs more detail, context, or explanation |
| Shorten | When the message is too long and needs to be made crisp |
| Make Professional | When the response needs to sound more polished, formal, or business-ready |
| Make Friendly | When the response should feel warmer, softer, or more conversational |

## How to Use the Feature

### 1. Select the Text You Want to Improve

You can select either:

* The full email or message
* A specific paragraph or section
* A single sentence

Once selected, choose the AI option that best matches your requirement.

Example:

If your message is too brief, choose **Elaborate**.\
If your message is too long, choose **Shorten**.\
If your message sounds too casual, choose **Make Professional**.\
If your message sounds too formal or cold, choose **Make Friendly**.

### 2. Use Full Selection for Email Restructuring

For emails, the best experience comes when you select the complete email body before using AI Rewrite.

This helps the AI understand the full context, tone, formatting, and structure of the email. It also helps preserve the overall flow and orientation of the response.

Recommended when you want to:

* Rewrite the complete email
* Improve the tone across the full message
* Restructure the response
* Make the email more professional
* Maintain the original flow and formatting as much as possible

***

### 3. Use Partial Selection for Small Edits

Partial selection works best when you want to improve only a specific part of the message.

Use partial selection when you want to:

* Rewrite a single sentence
* Improve one paragraph
* Make a specific line more professional
* Shorten only one section
* Make one part of the message friendlier

However, while using partial selection in emails, formatting such as indentation, spacing, or structure may be affected in the rewritten output. Please review the final email before sending.

## Best Practices

### Use “Elaborate” When More Context Is Needed

Use this when the message feels too short or lacks enough explanation.

Best for:

* Explaining next steps
* Giving detailed resolutions
* Adding context to customer updates
* Making support responses more complete

Example:

Before:

```
We are checking this and will update you.
```

After using Elaborate:

```
We are currently checking this with the relevant team and will share an update as soon as we have more clarity. Thank you for your patience while we look into this.
```

### Use “Shorten” When the Message Is Too Long

Use this when the response has too much detail and needs to be made crisp.

Best for:

* Long email replies
* Internal updates
* Repeated explanations
* Follow-up messages

Example:

Before:

```
We wanted to inform you that our team has checked the issue, and after reviewing the details internally, we have found that the configuration has now been updated successfully and the system should work as expected going forward.
```

After using Shorten:

```
We’ve checked the issue and updated the configuration. The system should now work as expected.
```

### Use “Make Professional” for Formal Customer Communication

Use this when the message needs to sound polished, structured, and business-ready.

Best for:

* Client emails
* Escalation responses
* RCA updates
* Enterprise customer communication
* Formal support replies

Example:

Before:

```
We fixed this now. Please check once.
```

After using Make Professional:

```
The issue has now been resolved from our side. Please check and confirm if everything is working as expected.
```

### Use “Make Friendly” for Softer Customer Responses

Use this when the message needs to feel warmer and more approachable.

Best for:

* Customer support chats
* Follow-ups
* Delay updates
* Apology messages
* Conversational responses

Example:

Before:

```
Your request is being processed.
```

After using Make Friendly:

```
Thanks for reaching out. We’re processing your request and will keep you updated.
```

## Recommended Usage for Emails

When using AI Rewrite for emails:

1. Select the complete email if you want to rewrite or restructure the full response.
2. Use partial selection only when editing a specific sentence or paragraph.
3. Review formatting before sending, especially if only part of the email was selected.
4. Check indentation, bullet points, spacing, and line breaks after rewriting.
5. Make sure the final email still matches your intended meaning and tone.

***

## Recommended Usage for Chat

When using AI Rewrite for chat messages:

1. Keep the message clear and direct.
2. Use **Make Friendly** for warmer customer conversations.
3. Use **Shorten** when you need to respond quickly.
4. Use **Make Professional** for sensitive or formal conversations.
5. Review the final message before sending to ensure it is accurate.

## Important Note on Formatting

For emails, selecting the full email usually provides the best output when you want to maintain the structure and overall flow.

If you select only part of an email, the rewritten output may affect formatting such as indentation, spacing, or alignment. Please review the final email before sending.

## Summary

AI Draft and AI Rewrite are designed to help teams write better responses with less effort.

Use the feature to improve clarity, adjust tone, reduce message length, or add more context. For best results, select the full email when restructuring larger responses and use partial selection only for focused edits.
